The challenge

Growth increased volume — and manual work with it.

The invoice purchasing process took weeks. The internal team and applicant companies exchanged documents through email and phone calls, without a single place connecting each request to the files available for review.

  • A fragmented experience across communications and documents.
  • Manual retrieval and delivery of dozens of files.
  • Limited visibility into the true status of each application.

Objective

Reduce the time between a request and document availability.

Stakeholder workshops revealed one priority: automatically retrieve invoices from the government portal, with the company’s authorisation, and remove repetitive uploads.

The solution

Two separate products, one operating cycle.

The separation keeps the system modular: the internal team manages the full application while the client authorises access and follows progress without entering operational tools.

01

Management dashboard

For the internal team: requests, documents, invoice review, offers, notes and history in a single view.

02

Applicant portal

For client companies: secure access, authorisation to retrieve fiscal data and automatic document sharing.

Proposed AI evolution

From digital workflow to operations copilot.

The designed product creates the operational and data foundation. The AI extension is explicitly proposed — not presented as already built — and can assist analysts without replacing financial decisions.

Document intake

Data extraction, completeness checks and anomaly flags.

Operational priority

Applications ordered by urgency, missing files and suggested next action.

Analyst copilot

Application summaries with evidence linked to original documents.

Communications

Contextual drafts for document requests and client updates.

Does a document-heavy process still live across email and spreadsheets?

We can start from the current workflow and identify where design, automation and AI create concrete value.
